We are getting back into contract assembly work. We have an older Assembleon (Phillips) pick and place machine. In a program file it just stores the part number and footprint as identifying information. If we are running a job for a second time and there are passives that have changed to a different part number, it makes setup difficult as the pick and place is referencing a different part number than we are working with. We use partsbox for BOM management, which handles part substitutes quite well. The only real solution we have now is to manually edit the part on the pick and place to match the new part, which is time consuming and can be prone to errors. Looking forward to hearing how others manage this in their production.

We don't program machines with OEM/supplier part numbers, we use an "internal" or company part number that we assign for each unique part. This internal part number can have multiple OEM part numbers (primary and alternates) associated with it depending on availability. For example "RES1234" can have any number of OEM part numbers for a 1kohm resistor depending on supply but the machine just knows it as RES1234.

This is probably much easier for us being our own OEM (we don't do contract work) but I would imagine you could do the same as long as you get a BOM from your customer.

Keep the number system simple, don't try and get overly complex. A prefix for a component type and incremental numbers usually is best.

The only thing I can add to this is that I think I have seen a screenshot/video of Hanwha placement software that showed (or appeared to) manufacturer part numbers being used on the machine and alternative handled on that same screen. That may have been a standard feature or it may have been part of the $$$ T solution software suite you can add as an adoption to manage your line & inventory.

Maintain a comprehensive component library or database that includes information on all the parts used in your assemblies. This should include not only the manufacturer part number but also other attributes like footprints, values, and descriptions. Use this database to cross-reference and identify part number changes. Continue to use your PartsBox BOM management system to its full potential. Make sure you have all the substitute part numbers listed in your BOMs, along with clear notes about which parts are interchangeable. This ensures that everyone involved in the assembly process is aware of the possible part substitutions.

As Tom said, we assign internal P/Ns and list all the "approved sources". If the customer BOM includes their own internal part number, we simply add the Customer Prefix, and use their number. If they don't, we utilize 'CUS-R0001' format. This can be difficult with later projects, because we have to search that customer's part numbers by manufacturer part number, and if it's not written the exact same way, we sometimes don't catch it and end up with duplicate entries.

It also becomes difficult with customers that consign parts, and sometimes provide alternates, especially if they don't have their own internal Part numbering system. In general, we do not enter consigned parts into our inventory system, so the part number with their prefix only exists in the SMT program database.
