1.         When should I arrive and depart in Virginia?
All officers should try arrive in plenty of time for our Welcome Reception on Friday, March 08 at 7:00 p.m. The conference ends at 12:00 p.m. on Sunday, March 10.
 
2.         Should I reserve a room directly with Lansdowne Resort?
No. Please register through the SMTA website and let Karen or Alicia know how many nights you need at the hotel. SMTA HQ will make all reservations at Lansdowne Resort by providing a rooming list. If you need to pay for your own hotel room nights, that will be noted on the rooming list. The hotel will charge your credit card upon arrival. If your room is paid by SMTA, it will be applied to our Master Account.

3.         Can I bring guests?  
If you bring a guest, they will not be charged for staying in your room as they will not be attending the program. Guests are welcome at the Saturday night social event at Topgolf; however, only SMTA officers and Board of Directors will be admitted to all other Forum events. The cost for extra guests at Topgolf is $100 per guest. Pre-registration required. Guests are not invited to any other activities, but the Virginia/ Washington area boasts lots of great activities that they can enjoy. 

4.         What is my financial responsibility?

All current officers and board members are eligible to attend the Officer Leadership Forum. The SMTA will cover hotel and all food, beverage and entertainment for the length of the program for two officers. If you want to send additional people beyond the sponsored two, that is allowed and encouraged; however, the cost must be paid by the individual or the chapter/ alliance group. 

Each officer (chapter) is responsible for his or her travel expenses. We hope that your employers understand the value of the benefits of SMTA membership and will support your trip. If not, Forum expenses are acceptable chapter expense items within the Chapter Bylaws. Extensions beyond the program days cannot be covered by the chapter and would be a personal expense. Purchase your travel tickets early. Before booking any non-refundable flights, be sure to consult with your chapter’s President and/or Treasurer. If it is impossible for your company or chapter to fund travel expenses, please contact Karen Frericks or Alicia McDonald (karen@smta.org or alicia@smta.org) to apply. We want to work with you to ensure that all chapters are represented.

SMTA will cover hotel reservations for two people for two nights (4 total room nights) for officers from your chapter. If you are comfortable sharing a room with another officer SMTA would greatly appreciate it as will give us more money to allocate towards events. Please indicate your desire on the registration site. If your chapter requires more than the allotted hotel room nights, those charges will be at your own or your chapter’s expense and will be charged to your credit card upon arrival. Your credit card will also be charged by the hotel after the program for any incidental charges not covered by the SMTA (for example, gift shop charges or minibar use). **If you bring a guest (family member, partner, friend), they will not be charged for staying in your room as they will not be attending the program.

ROOM RATES

  • Extensions (Room Only) - Extensions are available (2) days prior and (2) days following the scheduled program for $229 per night plus applicable taxes and fees.
  • Program Nights (Meeting Package) - Rooms rates on Friday and Saturday night during the program will be $265 per officer per night plus applicable taxes and fees. Note: This rate will be charged per person if your chapter sends more than 2 officers.
